How the calculator works
Your full caseload is the number of clients you want to see each week, times 1.5, because some clients come every other week or monthly. Open spots are your full caseload minus your current clients.
One new client's value is your fee times the average number of sessions in a course of treatment. The monthly figure assumes each client on a full caseload averages about 2.9 sessions a month (4.33 weeks divided by 1.5).
It's the same formula our dashboard uses for each counselor's caseload meter.
Common questions
Why multiply by 1.5?
Not every client comes weekly. Some come every other week or monthly, so a counselor seeing 20 clients a week usually has closer to 30 on their caseload. It's a rule of thumb, not an exact figure.
Is the 20-session default realistic?
It's a rough estimate. If you know your own average from your EHR, use it.
Does this include no-shows?
No. It's a simple estimate. Your actual numbers will be a bit lower.
You should be thinking about your clients, not where the next one is coming from.
